Yards, pieces and bales
Sell in the unit your customer buys in. Fabric moves by the yard for cut lengths and by the piece for a full six yards; bulk moves by the bale. Writing '12 pieces at ₦32,000' on the invoice is checkable at a glance — '₦384,000 of ankara' is a number a customer has to take on trust, and trust is what runs out first when money is tight.
What to take upfront
For a regular customer on account, part payment with a stated balance and a date is normal. For a new one, or a large order, full payment before release is not rude — it is how the trade works. Whichever you choose, write the balance and the due date on the invoice itself.
The lines most traders and retailers forget
Every one of these is work you have already done or money you have already spent. Left off the invoice, it comes out of your margin.
- Delivery, especially to a market where the driver waits
- Cutting and measuring time on odd lengths
- The 'small extra yard' added to keep a good customer happy
- Goods released on trust with no balance written anywhere
- Price rises since the last order, charged at the old rate to avoid the conversation
Invoicing as a trader
- How do I record a part payment?
- Put both numbers on the invoice: what was paid and what is still owed, with a date for the balance. A customer who has paid something and a customer who has paid nothing look identical in a notebook a month later, and that is where the argument starts.
- Should I write anything about ownership?
- A retention line is worth having on credit sales: goods remain your property until paid in full. It changes nothing when everyone behaves, and it is the only thing you have in writing when they do not.
- My prices change with the market — how do I handle that?
- Date the invoice and treat each one as its own transaction rather than a standing price list. If you quote ahead, say how long the quote holds. Absorbing a market rise to avoid an awkward conversation is a discount you did not decide to give.
