Coverage hours and delivered images
Two numbers do most of the work: how many hours you are there, and how many edited images you hand over. Both are countable, which is what makes them defensible. 'Wedding package' is not a unit — it is a word that means whatever the client decides it means once the day overruns.
What to take upfront
A booking fee, and say plainly that it is non-refundable. You are selling a date, and a date you held for one couple is a date you turned another away for. Half is standard for weddings. The word 'booking fee' does work that 'deposit' does not: it names what the money buys.
The lines most photographers and videographers forget
Every one of these is work you have already done or money you have already spent. Left off the invoice, it comes out of your margin.
- The two hours past the agreed coverage, because the ceremony started late
- Travel and fuel to a venue outside the city
- A second shooter, brought along and paid out of your own fee
- Extra rounds of edits after the first delivery
- Raw files, handed over free when they were never part of the price
- Overnight accommodation for a destination shoot
Invoicing as a photographer
- How do I charge when the event runs over?
- Put an additional-hour rate on the invoice from the start. Every Nigerian event runs late, so this is not a hypothetical — it is a line you will use. A rate agreed in advance is a fact; one raised on the night is an argument in front of the couple's family.
- Should the booking fee be refundable?
- No, and the invoice should say so before it is paid. You are holding a date and turning down other work for it. Make it explicit at the point of booking, not in a message after a cancellation.
- Do I charge for raw files?
- If you hand them over at all, price them. Raw files are your unfinished work, and giving them away free undercuts the editing you just charged for. Many photographers decline entirely; if you do supply them, it is a line item like any other.
